RIS is a Canadian Professional Services Provider focused on recruiting and developing top technology talent in Canada and is a part of an affiliate network of companies. This notice describes RIS's privacy policies and practices, including its use of services provided by its affiliates such as Rocket Mortgage LLC (“Rocket Mortgage”) and Rock Central LLC (“Rock Central”) (collectively referred to below as “we” or “us” and similar terms).
What personal information do we collect?
- We collect personal information regarding individuals who inquire about or apply for career opportunities with RIS (“Job Candidates”). Such information includes: contact information (name, email address, mailing address, phone number); resumes and application forms; information provided during interviews; and the content of Job Candidates' written and electronic communications. Additional information may be collected regarding successful Job Candidates in connection with the hiring process.
- We also collect other information that you provide to us directly, including when you contact us with an inquiry. Such information may include your name, contact information (including email address), province of residence, and the content of your communications.
- We also use certain tracking technologies on our website, including pixels set by third party social media services, which collect data regarding interactions with our online advertisements.
Why do we collect personal information and how is it used?
- Information provided by Job Candidates is used to evaluate such individuals' suitability for employment with RIS, and to communicate with Job Candidates in connection with our recruitment and hiring processes.
- Other information that you provide to us is used: to respond to your inquiries; to communicate with you regarding career opportunities; and for marketing purposes, including for the purposes of recruiting IT talent.
- The tracking technologies on our website are used to determine whether users have engaged with our online advertisements and evaluate the effectiveness of our marketing efforts.
Is personal information shared or disclosed?
- RIS's affiliate, Rock Central, collects and processes personal information regarding RIS Job Candidates, for the purpose of assisting with our recruitment, hiring, and onboarding processes.
- RIS's affiliates collect and process personal information for the purposes of providing marketing services to RIS.
- We may disclose certain information in the event of a Business Transaction.
- Information may also be disclosed as otherwise permitted or required by applicable law, including to law enforcement, courts and regulatory authorities.
What are the risks?
- Although we take steps to safeguard the personal information under our control, "perfect security" does not exist. In particular, we cannot guarantee the security of information communicated online and via email. It is possible that third parties may unlawfully intercept or access such information.
What else should you know?
- If you apply to a position, you will be redirected to the website of RIS's affiliate, Rock Central, which uses certain tracking technologies to collect data regarding your online activities. RIS's affiliates use such data for their own purposes, and to provide services to RIS, including to deliver online behavioural advertising and other marketing services.
- Some of RIS's affiliates, which provide services to RIS, are located in other countries and may transfer and/or store information outside the country where you are located. This means that your information may be accessible to foreign courts, law enforcement, and national security authorities.
- We may amend our Privacy Notice from time-to-time. Amendments will be posted on RIS's website, and we will send notice of significant changes to individuals with whom we have a relationship and who may be impacted by the change.

- Job Candidate Information
We collect personal information regarding individuals who inquire about or apply for career opportunities with RIS (“Job Candidates”). Such information includes: contact information (name, email address, mailing address, phone number); information contained in resumes and application forms; information provided during interviews; and the content of Job Candidates' written and electronic communications.
We may collect such information in person, in writing, on our websites, via videoconference, or by phone.
Additional information may be collected regarding successful Job Candidates in connection with the hiring process. This may include background check information, social insurance number, and banking information. Additional details regarding the collection, use and disclosure of such information is provided to the successful candidate when an offer of employment is made.
- Information you voluntarily provide to us
We collect other information that you voluntarily provide to us, including when you contact us via phone, email or mail. Such information may include your name, email address, province of residence, and/or mailing address, depending upon the means by which you contact us, as well as the contents of any communications you send to us.
- Website User Information
We automatically collect certain types of information when you visit our website. For example, the website includes pixels set by third party social media services which are used to evaluate interactions with our online advertisements including to determine whether users that click on our ads allow the relevant webpage to load. Such pixels collect information such as your domain name, browser type, operating system, IP address, web pages viewed while visiting our site, links clicked, length of time spent on our website, and reference website from which you accessed the site. The social media services that use such pixels on our site may be capable of tracking your browser across other sites and building up a profile of your interests, which may impact the content and messages you see on other websites you visit. We are not responsible for the privacy and data security practices of social media platform providers. Any personal information that you provide through social media platforms, including by clicking on advertisements on such platforms, will be subject to the privacy policy of the platform operator, and not this Privacy Notice.
Please note that, if you apply to a position posted on our website, you will be redirected to one of RIS's affiliates' websites, which is not hosted or controlled by RIS and may use other tracking technologies to collect data regarding your online activities. RIS's affiliates may use such data for their own purposes and pursuant to their own policies, and they may also use such data to provide services to RIS, including to deliver online behaviourial advertising and other marketing services. This Privacy Notice is only intended to describe data collected by or on behalf of RIS, and does not apply to, govern or describe the collection, use or disclosure of personal information or other data by RIS's affiliates or third parties for purposes other than to provide services to RIS, including, without limitation, information collected on any other websites. Why Do We Collect Personal Information and How Is It Used?
We collect information regarding Job Candidates for the purpose of assessing the candidates' suitability for career opportunities with RIS, communicating with Job Candidates, and to complete the hiring process for successful candidates. We primarily use the other information that you provide to us to respond to your inquiries. We may also use the information that you provide to us for marketing purposes, including for the purposes of recruiting IT talent. To the extent that we receive feedback on our services, we may also use that information for internal business purposes, such as to improve those services. The information that is automatically collected from users of our website via pixels set by social media services is used to analyze interactions with our online advertisements and evaluate the effectiveness of our marketing and recruitment efforts.
Is Personal Information Shared or Disclosed?
We share Job Candidate information in our affiliate network for the purposes described in this Privacy Notice, including recruitment, hiring and onboarding activities. Accordingly, we collect and use Job Candidates' personal information for the purposes of evaluating such individuals' suitability for employment with RIS and communicating with the Job Candidates.
In addition, we collect, use, and otherwise process personal information for marketing activities. Such personal information used for this purpose includes: names and email addresses; information collected on or in connection with RIS's website and other information collected online, including when a Job Candidate applies for a position through RIS's or Rock Central's website. We also use certain tracking technologies on our website, including pixels set by third party social media services, which collect data regarding interactions with our online advertisements. We may use this information to communicate with Job Candidates regarding career opportunities with RIS.
We may share the information that we collect with our service providers, including those that provide back-office support functions, as well as website administration services such as hosting job application forms and evaluating data analytics and the effectiveness of our online advertising.
We, and/or our service providers, may store information in the United States and other countries, and so your personal information may be accessible to foreign courts, law enforcement and national security authorities.

For clarity, this Privacy Notice only describes RIS's privacy policies and practices, including RIS's use of service providers and affiliates. This notice reflects certain data handling practices of RIS's affiliates in a limited capacity given their services provided to RIS, but is not intended to be a full representation of the affiliates' privacy and data handling practices. As our business grows, RIS may choose to engage affiliates and/or third parties to provide other services to RIS in Canada or elsewhere. When RIS engages a service provider to do work for us, it uses contractual measures to protect the information processed in connection with the services.
Information may also be shared or disclosed to third parties in the following circumstances:
- Business Transactions
We may be involved, from time to time, in transactions to sell all or part of our business or assets or merge with other businesses. Certain information may be relevant to such transactions, in which case we may disclose this information to other parties involved in the transaction. In such cases, the information that is shared is limited to what is necessary to accomplish the transaction, and we use contractual terms to protect the information from improper use or disclosure. Upon completion of the transaction, your information may be transferred to the purchaser, to be used in the same manner that it was used by RIS.
- Legal Requirements & Permitted Disclosures
There are circumstances where we may collect, use or disclose personal information without notice or consent when required or permitted by law or lawful authority. For example, from time to time, we may be compelled by legal action to release information (e.g., statutory reporting obligation, search warrant, court order, bankruptcy or insolvency proceedings etc.).
In certain circumstances, we may also be permitted by law to collect, use or disclose information without the consent of the individual concerned. For example, without limitation, we may disclose personal information without consent to investigate a potential breach of law or contract, to collect on a debt, or in certain emergency situations that threaten the life, health or security of an individual.
Retention of Personal Information
We generally keep personal information for only as long as it is needed to accomplish the purposes for which it was collected, unless we are permitted by law to retain the information longer for a legal or business purpose. However, if you apply to a position, we may keep your information on file even if you are not the successful candidate, so that we may consider you for other opportunities (unless you inform us that you do not want us to do this). You may contact us at any time to advise us that you no longer wish to be considered for RIS job opportunities.
How Do We Protect Personal Information
We protect the personal information that you provide to us by limiting access to employees with a need to know the information, and by including contractual protections in agreements with service providers.
Although we take the steps outlined above to safeguard the personal information under our control, "perfect security" does not exist. In particular, without limitation, we cannot guarantee the security of information transmitted to us online or via email. It is possible that third parties may unlawfully intercept or access such information. If you think someone is impersonating RIS, that there has been a breach of your privacy, or you believe that you are the victim of fraud, please contact us as soon as possible.

This Privacy Notice was last updated in May 2021. We will occasionally update this Privacy Notice and revise the "last updated" date appearing in this paragraph. We will generally notify individuals with whom we have a relationship of material changes to the Privacy Notice, which involve new or revised uses or disclosure of their personal information that may not be reasonably expected by them at the time that they provide personal information to us.
